This Privacy Policy explains how Gigaion, LLC, trading as ARCbots ("ARCbots," "we," "us," or "our"), collects, uses, and safeguards information in connection with our website and our bot services for the xat.com chat platform and Discord. It should be read together with our Terms of Service.

1.2 Scope

This policy applies to the ARCbots website and control panel, the bots we operate on your behalf on xat.com, and the optional ARCbots Discord bot (including its Chat Bridge feature). It does not apply to the xat.com platform itself, to Discord, or to any other third-party service you may use alongside ours, each of which is governed by its own privacy policy.

2.1 Account & Registration Information

When you register and use the control panel we collect the information you provide, such as your username, contact details, and authentication credentials, together with records of your settings and the bots you manage. You are responsible for the accuracy of this information and for keeping your credentials confidential.

2.2 xat Platform Data

To operate your bots we process data made available through the xat.com platform, including xat user identifiers and chat activity that your bot is configured to act upon. This processing is necessary to provide our chat moderation and automation services.

2.3 Payment Data

Payments are made using virtual credits available on xat.com (xats and days) and, where offered, through third-party payment processors. We retain records of transactions and the services they relate to. Where a third-party processor is used, your payment details are handled by that processor under its own privacy policy; we do not store full payment-instrument details on our systems.

2.4 Discord Data

If you choose to connect Discord and use the ARCbots Discord bot, we collect and store only the data needed to operate the bot and its Chat Bridge feature:

• your Discord user identifier, used to link your Discord account to your ARCbots account;
• an authorization (OAuth) token, which is stored in encrypted form and used to identify you and to read the list of Discord servers you manage;
• snapshots of the servers and channels you select, used to populate the setup menus and to route the bridge to the correct channel.

We request only the Discord permissions required for these features. The Discord bot's own credentials (its bot token) are held solely by our bridge service and are never exposed to the website. You can disconnect Discord, remove the bot from your server, or unassign it from the panel at any time.

2.5 Cookies & Tracking

Our website uses cookies and similar technologies to keep you signed in, remember preferences, and improve your experience. By using our website you consent to this use of cookies. We also use security tooling, such as reCAPTCHA, to protect against automated abuse.

3.1 Providing the Service

We use the information we collect to operate and maintain your bots, run the Discord bot and its Chat Bridge, process payments and manage bot time, provide customer support, and communicate with you about your account and our services.

3.2 Security & Anti-Abuse

We use information to keep the platform safe, including maintaining records of users who exhibit malicious or fraudulent behavior so that such activity can be prevented across the service, consistent with applicable data-protection regulations. This is described further in our Terms of Service.

4.1 xat.com

Our services depend on the xat.com platform. Data necessarily flows to and from xat.com to operate your bots. Your use of xat.com is governed by xat's own terms and privacy policy.

4.2 Discord

When you use the Discord bot, data is exchanged with Discord to authorize you, identify the servers you manage, and relay messages between your xat room and your chosen Discord channel. Your use of Discord is governed by Discord's own Terms of Service and Privacy Policy.

4.3 Other Providers

We use a limited set of supporting providers, such as hosting infrastructure, Google reCAPTCHA for abuse prevention, and third-party payment processors. These providers process data only as needed to deliver their function and under their own privacy policies.

5.1 Retention Periods

We retain information for as long as your account is active and as needed to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. Accounts that remain inactive and without active payments for a continuous period exceeding 120 days may be deleted at our discretion. When you disconnect Discord or unassign the bot, the associated Discord link and tokens are removed from active use.

6.1 Safeguards

We take reasonable technical and organizational measures to protect your information. Sensitive credentials, such as Discord authorization tokens, are stored encrypted, and the Discord bot token is isolated to our bridge service. No method of transmission or storage is completely secure, however, and you are responsible for safeguarding your own account credentials.

7.1 Access & Deletion

Subject to applicable law, you may request access to, correction of, or deletion of the personal information we hold about you. You can disconnect Discord and remove stored Discord data yourself from the panel at any time. To make other requests, contact us using the details below.

7.2 Children

Our services are not directed to children under 13, and if you are under 18 you may use the service only with the consent of a parent or legal guardian. We do not knowingly collect personal information from children in violation of applicable law.

8.1 Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Updated" date shown on this page. Your continued use of the service after any change constitutes acceptance of the revised policy. We encourage you to review this page periodically.
